Graduation Party Rentals in Central Maine

Graduation parties in Maine are often held at home, with friends and family stopping by throughout the afternoon. The rentals you need depend less on how many invitations you send and more on how many people you expect during the busiest part of the party.

Start with that number. Then decide what needs to be under the tent, how food will be served, and where people will sit, stand, and move through the yard.

Plan for the busiest part of the party

A graduation party may be listed as an open house, but that doesn’t guarantee everyone will arrive at different times.

If you invite 90 people to stop by anytime between noon and four, you may only have 30 or 40 people there at once. If lunch is served at one and the graduate is giving a thank-you speech at two, expect people to organize themselves around those times.

The weather can change attendance patterns too. Guests who would normally spread throughout the yard may gather under the tent if it rains or the sun becomes uncomfortable.

Don’t automatically reserve seating for half of your invitation list. Think about your schedule and estimate how many people could reasonably overlap.

If most guests are expected at the same time, plan seating closer to the full attendance number. If it’s a true come-and-go event without a scheduled meal or activity, a smaller seating count may work well.

Give each part of the yard a job

A graduation party needs zones more than it needs perfect symmetry.

Your layout may include:

• An entrance with a welcome sign or card box
• A display with photographs, awards, or school memories
• A buffet area
• A separate drink station
• Tables and chairs for eating
• Cocktail tables where people can gather
• A space for games
• Trash cans placed where people will actually use them

Keep the drink station separate from the buffet when possible. Guests return for drinks more often than they return for food, so combining everything in one place can create a line that never completely clears.

Move games away from food, parked vehicles, tent stakes, and the main walkway. A set of cornhole boards is easy to add, but it still needs enough open space for people to play without everyone else walking through the middle of it.

What size tent do you need for a graduation party?

Choose a tent based on what you want underneath it.

A tent used only for food requires a different amount of space than one holding tables and chairs for every guest. Adding a buffet, gift display, DJ, speaker, or drink station takes away from the space available for seating.

Here are a few current Event Rent ME options:

• A 10x20 pop-up canopy can cover 16 to 24 seated guests. It can also be used as a dedicated food, gift, or shade area.
• A 20x20 high peak frame tent seats 32 guests at dining tables. It has no center pole, which gives you an open interior for arranging tables.
• A 30x40 pole tent seats up to 96 guests at round tables. If you add food, gifts, or other activities inside, the covered seating count will be lower.
• A 40x60 pole tent provides coverage for larger graduation parties and is included in our 192-guest table and chair packages.

These capacities are starting points. They are based on specific arrangements and don’t mean every listed item will fit underneath the tent at the same time.

Check the yard before choosing a tent

The usable space matters more than the total size of the property.

A large backyard may still have a septic system, buried utilities, slopes, trees, gardens, overhead wires, playsets, or narrow access points that affect where a tent can go.

Before reserving a tent, check:

• The length and width of the flat area
• Trees and branches above the space
• Overhead utility lines
• Septic tanks and leach fields
• Underground utilities or irrigation
• Gates, fences, and vehicle access
• The distance between the setup area and driveway
• Whether the ground stays soft after rain

Pole tents require staking and need space beyond the covered portion for ropes and stakes. High peak frame tents don’t have center poles, but they still need to be properly secured.

How many tables and chairs should you rent?

Base your seating quantity on your expected peak attendance.

Our 60-inch round tables seat eight guests. Six-foot banquet tables seat six to eight, and eight-foot banquet tables seat eight to ten.

Round tables create natural seating groups and work well when guests will be eating and visiting. Banquet tables give you flexibility for dining, food service, gifts, desserts, photographs, and displays. Standing-height cocktail tables give guests another place to set down drinks or plates while they visit.

Remember that not every table needs chairs. Buffet, dessert, gift, DJ, and drink tables should be counted separately from your guest seating.

Should every guest have a chair?

If everyone is arriving for a scheduled meal, reserve a chair for each person.

For a come-and-go party, you may decide that you don’t need a dining chair for every person on the invitation list. You may have some guests sitting, others standing at cocktail tables, and others playing games or looking through the graduate’s photo display.

There still needs to be enough seating during the busiest part of the event. Make sure the chairs are easy to reach and leave clear walkways between the seating, food, and restroom areas.

If you aren’t sure, tell me how many people you invited, the party hours, and whether anything is happening at a specific time. That tells me much more than the invitation count by itself.

Graduation party rental packages

Our tent, table, and chair bundles are built around actual seating capacities. Current packages include seating for 24, 32, 48, 64, 96, or 192 guests, depending on the tent and chair style selected.

A bundle gives you the tent, round tables, chairs, setup, and teardown in one reservation. You can then add the pieces your party still needs, such as buffet tables, cocktail tables, lighting, trash cans, games, or a speaker.

Choose the bundle based on how many people need covered seating, not simply how many people were invited.

For example, a 96-guest bundle provides 96 seats. If you need covered dining for 100 people, we’ll need to adjust the plan instead of treating those four seats as if they’ll somehow appear.

Plan the food area around the menu

Don’t reserve a random number of buffet tables before talking to whoever is providing the food.

A simple appetizer table requires less space than a full meal with plates, utensils, several food trays, desserts, condiments, and serving equipment.

A practical setup may include:

• One table for plates, napkins, and utensils
• One or more tables for the main food
• A separate dessert table
• A drink station away from the buffet
• Coolers or ice placed where they won’t block the walkway

For food safety, the USDA says perishable food shouldn’t remain at room temperature for more than two hours. That drops to one hour when the outdoor temperature is above 90 degrees. Cold food should be kept cold, and hot food should be kept hot throughout the party.

When should you reserve graduation party rentals?

Reserve your main equipment once you know the date, address, and approximate size of the party.

Graduation weekends bring several events into the same area on the same days. Waiting for a final guest count can mean the tent or chair style you wanted is already reserved.

You can start with the best estimate you have and review the details as the party gets closer.

Delivery is calculated by mileage. Setup is based on the equipment included and the work required at the event location. Tent setup is required unless it is already included in a bundle.
